Job Description

Performs the essential duties and responsibilities and the primary functions of a Human Resources Assistant  working with various levels of the organization to complete assigned job duties.  Responsible for maintaining a supply of applications for distribution to the public and ensuring the accurate completion of the application and routing to the appropriate departments.  Responsible for accurately and timely processing new employee paperwork.  Responsible for making all New Employee Orientation arrangements.  Responsible for receptionist duties as needed such as answering the telephone, typing, maintaining forms, reports, etc.  Responsible for dealing with numerous issues and the constant changing demands of the department. 



·         Prepares and processes new employee paperwork.

·         Answers the telephone promptly and forwards accurate messages appropriately. 

·         Keeps accurate spreadsheets and data of new hires/terminations.

·         Prepares and maintains I-9 forms for Immigration. 

·         Assures new employees complete computer orientation.

·         Prepares/audits personnel file checklist on all new hire/rehire employees to ensure all pertinent information is in the appropriate file. 

·         Responsible for employment verifications and ensures that they are completed on a timely basis.

·         Processes the distribution of applications to the public by mail or walk-ins and ensures that they have been properly completed.  Routes all applications to the appropriate departments (walk-ins, mail, on-line applications) on a timely basis.

·         Makes new and replacement I.D. badges for MMH employees, volunteers, and contract personnel.

·         Communicates effectively (hear, listen, speak) with co-workers, ancillary staff, departmental staff, applicants and visitors.

·         Screens and distributes mail appropriately on a daily basis

·         Maintains orders and distributes department forms.

·         Promotes a positive image of the Hospital and the Human Resources Department.

·         Ability to maintain confidentiality of privileged information to ensure the protection of employees’ and applicants’ rights. 

·         Adheres to Infection Control and Hospital Safety policies/procedures.

·         Maintains and updates the job descriptions and books as needed. 

·         Assumes responsibility for his/her professional development and completion of education requirements.

·         Adapts to and anticipates the needs of the department.

·         Follows time and attendance policy.

·         Contributes and participates in cost containment activities.

·         Contributes toward the organization and efficiency of the department. 



·          Must be a high school graduate or equivalent.
